In a recent strategy session through the NYCK Coaching Coaches Program, I worked with a coach who had developed a workbook to use with his clients—filled with insights, exercises, and prompts. While the content was strong, the format had become dense, disorganized, and overwhelming to navigate.
He wanted the workbook to:
Flow logically from one concept to the next.
Support delivery across live, virtual, or self-paced formats.
Feel aligned with his unique coaching voice and intended outcomes.
We didn’t scrap the workbook. And we didn’t hand it off to ChatGPT expecting a miracle fix.
Instead, we used ChatGPT with intention to restructure, streamline, and refine the material, making it not just usable, but scalable and client-ready.
The Fix: Use ChatGPT Like a Strategic Partner
Here’s how we trained ChatGPT to produce useful, aligned output:
1. Define the Role
We instructed GPT to act as a professional instructional designer with experience in coaching curriculum. That one shift changed the quality of the output dramatically.
2. Provide Clear Context
We clarified:
The workbook’s purpose (coaching companion + standalone value).
The audience (small/mid-sized business owners).
The outcomes (quick wins + long-term transformation).
3. Direct the Output
We used targeted prompts like:
“Analyze this workbook for structural gaps, redundancies, and flow issues.”
“Offer a polished version of this coaching prompt.”
“Break down Part 1 (pages 6–84) and identify overlap or repetition.”
By treating ChatGPT like a strategic assistant—not a shortcut—we got output that saved time and made the workbook more client-ready.

Instead of jumping between disconnected chats, use the Projects feature in ChatGPT to group your conversations, notes, and drafts by topic or product. It keeps your process focused and reduces duplication and confusion.
